Privacy notice — booking enquiries

Who we are

Swan Saxophone Quartet is responsible for personal information submitted through the booking form and for the way optional analytics is used on swansaxophonequartet.co.uk.

You can contact us about your information or make a data-protection complaint at [email protected] or through the booking form. Put “Privacy request” or “Privacy complaint” at the beginning of your message. You can also contact us through Facebook Messenger, although you should avoid sending sensitive information through social media.

Information we collect

When you make a booking enquiry, we collect your name, email address, optional phone number, optional event date, venue or location, message and confirmation that you have read this notice.

How we use it

  • reply to your enquiry;
  • discuss availability and your event requirements;
  • take steps you ask us to take towards a possible booking; and
  • administer the booking if one is agreed.

We do not use booking-enquiry details for unrelated marketing. We use this information because it is necessary to take steps at your request before a possible booking contract and, if a booking is agreed, to perform that contract.

Who handles the information

Your enquiry is delivered to Swan Saxophone Quartet’s booking mailbox and is available to the people handling bookings for the quartet. The form runs on WordPress, and the Plesk-managed website and email systems handle the information so it can be transmitted and stored.

If you choose Facebook Messenger instead, Facebook will also process the information under Meta’s Privacy Policy.

Cookies and analytics

We use necessary storage to remember your cookie choice. With your permission, we also use Google Analytics, connected through Google Site Kit, to understand visits and improve the website and booking experience. Analytics may process information such as pages viewed, approximate location, device and browser information, and interactions with the site. We do not use analytics information for unrelated advertising or to identify you by name.

Optional analytics is off until you choose “Accept all” or enable analytics in “Manage choices”. If you reject optional cookies, Google Analytics does not store analytics cookies for your visit. You can change or withdraw your choice at any time using the cookie-settings control shown on the site.

Google Ireland Limited processes analytics information on our behalf. You can read how Google uses information from sites that use its services. Analytics information is retained according to the settings for the quartet’s Analytics property and is deleted or aggregated when it is no longer needed.

How long we keep it

We keep an enquiry only for as long as reasonably needed to reply, deal with any resulting booking and handle related administration. We decide this from the status of the enquiry and whether it results in a booking. Information is deleted when it is no longer needed.

Your rights

Depending on the circumstances, you may ask for a copy of your personal information or ask us to correct, delete, restrict or transfer it. Contact us using the route above.

If you are unhappy with how we use your information, contact us first so that we can investigate. You can also complain to the Information Commissioner’s Office.
